SageSure Insurance Managers is in search of an experienced Payroll and Benefits Specialist to oversee the Company’s systems of compensation and benefits as a member of our Human Resources team. Having recently implemented UltiPro’s Core HR and Payroll platforms, the Payroll and Benefits Specialist will have the exciting opportunity to capitalize on our new system implementation and play a critical role in ensuring its success. A successful candidate will have a positive can-do attitude, provide excellent customer service to our employees, accurately process payroll, and administer the company’s benefit programs.

What you’ll be doing:

Manage the Payroll Process for the Company:

  • Manage the UltiPro payroll platform by processing semi-monthly and supplemental payrolls, including, but not limited to, calculating payable hours, commissions, bonuses, tax withholdings and deductions.
  • Oversee non-exempt time tracking process and approvals in Fidelity Time System and integrate same into Ultipro.

Oversee all state and federal filings and reporting in collaboration with finance:

  • Reconcile and audit reports for tax filings, financial reporting, 401(k) deductions, HSA, FSA and Dependent care payments, monthly benefit invoicing and annual 5500 and Workers Compensation and payroll audits and reconciliations.
  • Monitor the Work State/Live State tax reporting process and communicate tax rate changes to UltiPro and validate.

Administer the robust benefits program offered to our employees through UltiPro:

  • Coordinate COBRA communications, payments, and maintain the ledger.
  • Report HSA ER contributions for W-2 reporting.
  • Prepare and settle annual 401(k) employee true-up payment, 5500 audit/filing, non-discrimination testing, SAR, QDI annual reporting, assist with education sessions, and other tasks.
  • Lead daily/monthly 401(k) account activities, semi-monthly deduction reconciliations, company match, and validation.
  • Maintain records for repayment of benefits from employees on LOA, relocation, sign-on bonuses, and severance payments.
  • Maintain updated employee life salary data with the health insurance carrier for proper billing.

Own the interaction with employees for all things related to the administration of pay and benefits:

  • Conduct new hire benefits orientation and coordinate enrollment of new employees and annual open enrollment process.
  • Be the “go-to” person for employee questions related to the administration of same
  • Assist Finance with corporate annual payroll processes audit, reconciliations and payroll activity
  • Maintain proper health care employee files in accordance with labor laws.
  • Assist with special HR projects as requested.

We’re looking for someone who has:

  • At least 5 years recent experience of payroll and benefits administration
  • Has worked with payroll systems and multi-state payroll compliance requirements
  • Has administered benefit enrollment and servicing for a fully or self insured employer
  • Strong attention to detail and ability to meet deadlines
  • Ability to work independently and in a fast-paced environment
  • Excellent numeracy and literacy skills
  • Strong communications skills, both written and verbal and presentation skills
  • Advanced Excel skills a must
  • Reliable and honest, this individual will have demonstrated unfettered ethics and integrity
  • Positive and committed attitude with a proven track record of getting things done

Highly preferred candidates also have:

  • UltiPro experience is preferred
  • Basic understanding of accounting principles
  • Bachelor’s degree preferred
  • Preferably experience with multi-state tax filing requirements

This position can be based in our Jersey City, NJ, or Tallahassee, FL office, and/or remote.
